Operations Manager

DEPARTMENT:
The Fund Development department aims to develop and implement strategies to increase the funding income of Islamic Relief through a range of fundraising initiatives and through acquisition and retention of donors, volunteers and community supporters

JOB PURPOSE:
This position is responsible for co-developing and implementing operational plans in line with the community fundraising strategy. For overseeing interdepartmental coordination in order to develop, design and implement campaigns and appeals for the community fundraising team to deliver nationwide. Finally, to project manage individual national fundraising initiatives

SCOPE:
Managing the logistics of event planning including launching events online and coordinating with designers, videographers and content developer to develop all event media content, reviewing event venues, programme and coverage
Managing department resources and liaising with the National Team to ensure they have all the deliverables they need to implement their activities
Responsible for all operational plans that contribute towards effectively implementing the departments strategic work plans and objectives.
Project managing key national initiatives.
Overseeing finances for the Community Fundraising team which include budgets, expenditure and income.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage and support committees or planning staff
  • Develop and execute strategies for successful special events within budgets
  • Generate traffic and interest in the organization through timing and execution of events
  • Plan, design and produce events while managing all project delivery elements within time limits
  • Liaise with clients to identify their needs and to ensure customer satisfaction
  • Write P&L statements for all events
  • Provide feedback and periodic reports to stakeholders
  • Propose ideas to improve provided services and event quality
  • Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc…
  • Cooperate with marketing and fundraising to promote and publicize events
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post – event evaluations and report on outcomes
  • Research market, identify event opportunities and generate interest
  • Manage department resources to ensure effective and efficient implementation of IRC activities across Canada
  • Liaise with appropriate IRC departments to maximize impact for all FD activities (publicity, government relations, marketing, programs)
  • Support the National FD team on all of their activities and ensure they have the resources and deliverables they need in a timely manner
  • Build good regular communications with the FD team to encourage collaborative working attending meetings and events as appropriate.

QUALIFICATIONS & COMPETENCIES:

  • Bachelor’s degree
  • 1-3 years of experience in project management
  • Meticulous; attention to detail
  • Typing speed of 70 wpm or higher
  • Excellent written and verbal communication skills
  • Familiarity with expense reconciliation and reports
  • Impeccable planning, organizational, multi-tasking and time management skills
  • Fantastic customer service ethic and high expectations for quality
  • Calm under pressure: many things can go wrong during an event, and something eventually will. Event coordinators need to remain calm during a crisis and the high pressure of an event
  • Proven ability to be flexible in a team-oriented approach with diverse groups of people
  • Critical thinking and problem solving skills
  • Team work, delegation and conflict management competencies
  • Must be eligible to work in Canada

Other:

  • Current local driving license and access to a vehicle
  • Have a flexible approach to work in order to accommodate events, functions and work activity
  • Willingness to travel nationally at short notice
