Volunteer Coordinator

We are looking for a competent Volunteer Coordinator to perform various administrative and operational tasks to support our office. Reporting to the National Volunteer Manager, the individual in this position will undertake a variety of activities in the office ranging from HR admin support to supporting and leading cross departmental operations projects.

An effective coordinator has the ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills. 

Status: Part time, 1 yr contract

Essential Duties & Responsibilities

General Volunteers

  • Respond to general volunteer email inquires
  • Guiding individual volunteers to get involved with their own initiatives (Chai for Change, Keys of Hope, etc)
  • send out volunteer requests
  • Screen volunteers (VSS)
  • Supporting with seasonal initiatives (i.e. Ramadan Agendas, Cupcakes, Charity Week)

Volunteer Communication/Orientation

  • maintain volunteer database along with all signed documentation (confidentiality agreements, code of conduct, safeguarding)
  • Newsletter (staff ones going out and also volunteer ones)

IR Club Support

  • Merch, Design request, request for resources/coordinating with other depts

Management Initiatives

  • Supporting execution of training programs for volunteers. Getting involved with designing and brainstorming of training initiatives (i.e. Safeguarding, Orientation, Soft-Skill Training)
  • Supporting logistics, planning, execution of any volunteer management initiatives (i.e. Appreciation Dinners, Summits/Retreats, Loyalty Program/Reward system)
  • Supporting with HR admin tasks and any other ad hoc tasks  as required


  • Bachelor’s degree in any subject matter
  • Enjoys administrative work
  • Attention to detail
  • Exceptional organization and planning skills
  • Experience in event management is an asset
  • Time-management, prioritizing multiple tasks and timelines
  • Excellent written communication
  • Good presentation skills
  • Able to communicate well with various stakeholders (community and internally with different departments and volunteer teams)
  • Experience working in a team environment
